How to publish your report Keywords: report, publish, send to client, send to agent, locked, unlocked, publishing

This article will walk you through how to publish your inspection report from the web and the app. You'll also find some frequently asked questions about publishing reports.


What is Publishing?

Publishing is the term used to finalize a report and send it out to the recipients, usually the client and their real estate agent. When you publish the report, it will trigger your "Report Ready" emails and/or texts set up in your Automations tab, or your Actions tab if you use Spectora Advanced.


How to Publish Reports from the Web

This section will show you how to publish your completed report via the Spectora web page.

  1. Click on your inspection

  2. Check that your reports are complete*

  3. Click "Publish All"

  4. Check all messages you want to send out or uncheck any messages you do not want to send

  5. You'll see your pre-written Automation or Action messages. You can change any verbiage in the message you want before sending

  6. Click "Send All"

*Note: You (or your company) may require all reports to be completed prior to publishing. If the setting is enabled, then all comments/items/sections of the report must be filled out before the "Publish All" button is clickable. This setting is under Settings > Report Options > Report Tools:

How to Publish Reports from the Mobile App

This section will show you how to publish your completed report via the Spectora mobile app.

  1. Locate your inspection in the app and tap it to open

  2. Check that your reports are complete*

  3. Swipe up on the "Reports" tab to complete your report(s)

  4. Once your report(s) is complete, tap the paper airplane icon

  5. With Automations, the app does not give the option to disable any messages prior to publishing

    1. To publish the report(s) and all messages, tap "Publish"

  6. With Spectora Advanced, you can enable or disable any Actions messages prior to publishing

    1. Once you've enabled/disabled your Actions, tap "Publish Report(s)"

    2. Tap "Publish" to confirm

Automations are the automated emails and texts that are part of the base software. To view and edit your Automations, click here. Actions are part of Spectora Advanced. To learn more about Spectora Advanced and Actions, click here.


Frequently Asked Questions:

  • I published the report but the client hasn't paid or signed the agreement. Can they still view the report?

    • Nope! The report is automatically locked until payment is made and all agreements have been signed. All inspections through Spectora default to requiring payments and signed agreements in order to unlock.

  • I published the report and need the client to be able to see it before they pay. What can I do?

  • My report is complete but I can't publish!

    • Double-check that all sections of your report have turned green. When a section turns green it indicates that section is complete. If you're seeing all sections green, try unchecking and re-checking a comment. Sometimes the report needs a little refresh to see everything is complete and this does the trick.
