Agents are an invaluable asset to your business and play a crucial role in guiding clients through the complex process of buying a home. By creating a designated contact list for agents, you can streamline your workflow and seamlessly integrate them into inspection schedules. This ensures that they are always up-to-date with all important inspection-related communications. In this article, we'll show you 3 different ways to create an agent contact.


Creating an Agent Contact through the Contacts Tab

An easy way to add a new agent contact is through the Contacts tab. This tab holds all of your agent contacts in one place for easy access. In this section, we'll show you step-by-step how to create an agent contact via the Contacts tab.

  1. Click "Contacts"

  2. Click "Add Agent"

  3. Enter the agent's information

  4. Click "Save"


Creating an Agent Contact on the New Inspection Form

When scheduling a new inspection internally, you can add a new agent. This will create a new contact for them in your Contacts tab. By adding the agent through the inspection form, you don't need to worry about creating the contact prior to scheduling! In this section, we'll walk you through how to create an agent contact on the new inspection form.

  1. Click "+New Inspection"

  2. Click "AGENT FORM"

  3. Enter the agent's information

  4. Fill out the form as normal

  5. Click "Save Inspection"


Creating an Agent Contact on an Existing Inspection

Occasionally, you may have a client book an inspection online without their agent's information. You can quickly add the agent's information through the existing inspection appointment. This will automatically save the agent as a new contact in your Contacts tab! Follow along with the steps in this section to see how to create an agent contact on an existing inspection.

  1. Click on the inspection to open the Inspection Details page

  2. Click "+New" in the People box

  3. Select the agent type in the dropdown menu

  4. Click "Add New"

  5. Enter the agent's information

  6. Click "Save"


Frequently Asked Questions

  • I'm trying to create a new agent contact, but it says their email is already in use. Why?

    • Emails are unique identifiers in our system, so they can only be associated with one account or contact. If you're seeing this message, the agent most likely worked with another Spectora inspector in the past and that inspector created a contact for them.

    • Instead of creating a new contact, you can search for the existing contact here:


  • How do I edit an agent contact?

  • Can I add a profile photo to my agent contact?

  • I can't see the "save" button, what do I do?

    • Try adjusting your browser's zoom settings. You may need to zoom out.

  • Does it matter how I enter a phone number when adding agents to my contacts?

    • No, it does not matter how you enter the agent's phone number.

    • The system will recognize it as long as the format makes sense and the number sequence is typical.
