How to Edit an Agent's Contact Information

If you need to update an agent or realtor contact with a new email, phone number, or address, you can do so through the Contacts tab or through an existing inspection. In this article, we'll show you how!


How Emails Work in Spectora

Emails are unique identifiers in the Spectora system. Email addresses can only be used for one contact. If you're trying to edit a contact with an existing email and see an error message that says "Sorry, that email is taken," the email you're trying to use is already connected to an existing contact.

Here are two ways you can work around this:

  • You can delete the existing contact from the inspection, add a new contact with the +New button, and search for the needed contact.

  • Or, you can create a "new" email for the contact:

    • If you're using email@email.com for an agent, the same email cannot be used for a different agent. As a workaround for this, you can add +1 to the email for the second agent. So agent 1 would use email@email.com, and agent 2 would use email+1@email.com. That kind of tricks the system into thinking it's a "new" email address, but all info will be sent to email@email.com!


Editing an Agent Contact Through the Contacts Tab

In this section, we'll show you how to edit a realtor/agent contact through the Contacts tab. The Contacts tab is where all of your contacts are stored, which makes it easy to find and update them!

  1. Click "Contacts"

  2. Click the arrow button to the right of the agent's name

  3. Click "Edit" in the dropdown menu

  4. Edit the agent's information

  5. Click "Save"


Editing an Agent Contact on an Existing Inspection

In this section, we'll show you how to edit an agent/realtor contact on an existing inspection. When updating the contact on an inspection, it automatically updates their information in the Contacts tab - no need to worry about updating it in more than one place!

  1. Click on the inspection to open the Inspection Details page

  2. Click the 3 dots to the right of the agent's name in the People box

  3. Click "Edit" in the dropdown menu

  4. Edit the agent's information

  5. Click "Save"


Error When Changing an Agent's Email Address

If you're receiving an error when trying to change an agent's email address, it could be because the agent previously confirmed their email in Spectora!

We've since changed this setting so that you have free reign over your contacts, but the update doesn't apply to confirmed agents.

In order to change the email for a confirmed contact, you'll need to create a new agent contact. Once you've created the new contact, you can transfer the inspections from the old contact to the new one.

  1. Click "Contacts"

  2. Click "Add Agent"

  3. Enter the agent's name and email info

  4. Click "Save"

  5. Click the arrow button to the right of the old agent's contact

  6. Search for the new agent contact

  7. Click "Transfer All Inspections"

  8. Once the inspections have been transferred, click the arrow button to the right of the old agent contact

  9. Click "Delete"

  10. Click "Delete"

You now have a brand new agent! 🎉 You will be able to change their email address going forward by using the old-fashioned way.


Frequently Asked Questions

  • Can I add a profile photo to my agent contact?

  • I can't see the "save" button, what do I do?

    • Try adjusting your browser's zoom settings. You may need to zoom out.

  • I changed the name of the agent on an inspection, and now their name is showing up on other inspections. Why is this happening?

    • If you change the name of a client/agent contact on an inspection, this will update the contact’s name on any inspection they were added to.

    • ❇️ Tip: If you are using one email address as the “client” on multiple inspections, changing the name of the contact on one inspection would also change the name of the contact on other inspections

  • I tried changing the email address for an agent, but it says “Sorry, that email is taken.” How do I fix this?

    • Emails are considered to be unique identifiers in our system, so an email address cannot be associated with more than one user. If the email address is already in use, check to see if there might be another email address that can be used.

  • Where can I change an agent’s email address?

    • This can be done from the Contacts tab OR from an inspection where that contact is assigned.

    • Note: Updating the information in your Contacts tab will also update the information on any inspection they are linked to, and updating the information on an inspection will also update the info in your Contacts tab!

  • Where can I change an agent’s phone number?

    • This can be done from the Contacts tab OR from an inspection where that contact is assigned.

  • When I have to enter a fake email for an agent because I don't have it, do they see that anywhere? Do they have the ability to "edit their profile" on Spectora?

    • The only place they might see that fake email is on the report once it's published. You can always remove the agent information from your reports. If it's not visible there, then there is nowhere they can see it. You can find this option under Settings > Company Settings > Agents.

    • Agents do not have the ability to edit anything on their end.

    • It's important to note that it is not necessary to enter an email when you're scheduling an inspection internally, so if you don't have one for the agent, you don't have to enter one.
