Setting up a default template for a service in Spectora ensures that the correct template is automatically applied to each new inspection. If you’ve already picked out a template and saved it to your template library but can’t select it when adding a new inspection in the dashboard, there’s just one more step to complete.
In this article, we’ll guide you through adding your selected template to the Services area in the New Inspection section. This will save you time and help maintain consistency across your reports by aligning each service type with the right template.
Here is how to set a default Template for a Service:
Click "Settings"
Click "Service & Fees"
Click to expand the service to which you want to assign a default template.
Click to expand the template selection drop-down menu.
Select the template(s) you want to assign to this service.
Once you have a template assigned for a service, the report will automatically build from that template whenever that service is scheduled. You can go back and edit the default template(s) at any time in your Services & Fees, simply repeat steps 1-5. Reports automatically build on the day of the inspection at 3 AM.
💡 Tip: Keep in mind that any changes to the default template only apply to new inspections scheduled after the change. Existing scheduled inspections will not update automatically, and the default template must be assigned manually if required.
If you're using ISN for scheduling, you'll want to make sure each of your inspection services has a designated template for import mapping:
🌟 If there is not a template assigned for these services in the ISN integration, then a report will not be generated and the inspection will not import.
Frequently Asked Questions
Why is my template showing up twice on my inspections? How can I prevent these multiple reports?
If you're seeing multiple reports generating on your inspections, you may have the same template defaulted for both your primary service and your add-on services. You'll want to adjust your add-on services to use their own template (WDO template for termite inspections for example) instead of your usual template.
I added a new/additional service and my template did not load on the inspection. What happened?
If the template didn’t load on the inspection after adding a new or additional service, it’s a good idea to double-check that the template is set as the default for that specific service.
Templates will only auto-load for an inspection if they are assigned as the default for the service.
Why am I receiving a 'No Template' error for my inspections?
This error can occur if the default template has been deleted or is inactive. Verify that the selected default template is active in your settings.
Do default templates apply to previously scheduled inspections?
No, default templates will only apply to inspections created after they are configured. Manually assign the new template to inspections already scheduled if needed.
