In Spectora, there are times when you may need to generate a new report for an inspection that’s already been completed, whether it’s for additional findings or simply creating a separate report for a specific part of the property.

Spectora makes it easy to add a new report to an existing inspection without needing to schedule a new one.

In this article, we will go over the process of adding a new report or template to an already scheduled inspection. These instructions can be useful if your inspection is missing a report or if the incorrect template was selected. This will also ensure you have the new report/template available in the app.

*Note: Deleting an existing report will delete any information that you already filled out. It's recommended to only do this if the report has not been filled out yet, so you don't lose any important data.

  1. Click on the inspection to open the Inspection Details page

  2. Click "+New" in the Reports box

  3. Click the arrow button to open a dropdown menu

  4. Select the template you want to use from the dropdown list

  5. Click "Add Report"

This will also ensure that the new report is available in the app once it is added and built.

When Should You Add a New Report to an Existing Inspection?

There are several reasons why you might need to add a new report to an inspection:

  • Additional Findings: If something new comes up after the initial report has been submitted, a new report allows you to document these findings without altering the original report.

  • Specialized Reports: You may want to create a report focused on specific areas like a radon test or mold inspection, which can be kept separate from the main home inspection report.

  • Client or Agent Requests: Sometimes, clients or agents may request a separate report for specific sections of the inspection. Adding a new report to the existing inspection allows you to meet these requests easily.

  • Clear Labeling: Make sure to label your reports clearly (e.g., “Re-Inspection Report,” “Mold Testing Report”) so clients and agents can easily distinguish between them.

  • Consistent Communication: Notify clients and agents when a new report is added to the inspection so they know where to find the additional information.

  • Keep the Original Report Intact: If you’re creating a new report, avoid editing the original report unless absolutely necessary. This ensures that the original findings remain unchanged and intact.

  • What happens to the existing photos and comments?

    • The new report starts blank, so it won’t carry over photos or comments from the original report. You’ll need to add new content, but you can copy relevant sections if needed.

  • Will the new template/report show on the app?

    • Yes, it will! Once you add the new template/report using the method above the new report will be available in the app, you may need to simply swipe down from the top of the app screen to refresh.
