Whether you fancy "Deficiency", "Observation", "Finding", or anything else to describe an issue you found, you can adjust your verbiage accordingly in your template. This article will walk you through how to change your defect label and your defect categories.

Changing Your Defect Label

This section will show you step-by-step how to change the defect label in your template settings.

  1. Click "Templates"

  2. Click "My Templates"

  3. Select your template from the dropdown menu

  4. Click the 3 dots on the right

  5. Click "Template Settings"

  6. Click "Display Options"

  7. Check the box for "

  8. Click "Save"

The defect label is used as the name for your red defect category. Typically, this category is used for high/serious defects.


Changing Your Defect Categories

This section will show you step-by-step how to change the defect categories in your template settings. There are 3 defect categories in each template - a blue category, typically used for maintenance items or DIY items; an orange category, typically used for recommendations or minor repairs; and a red category, typically used for immediate repairs or safety hazards. Each of these categories can be named whatever you'd like in each template.

  1. Click "Templates"

  2. Click "My Templates"

  3. Select your template from the dropdown menu

  4. Click the 3 dots on the right

  5. Click "Template Settings"

  6. Click "Defect Categories"

  7. Edit the name of the blue, orange, and red categories

  8. Click "Save"

These defect categories can be selected when creating new defect comments, or you can change your existing defects to a different category.


Using Defect Categories

  • One Defect Category

    • When you use one defect category, the system automatically selects the orange category:

    • You can rename the category anything you wish, but cannot change the color.

    • When you add a new defect, there are no flags to select which category to use, as there is only one available:

  • Two Defect Categories

    • When using two defect categories, the system will automatically select the orange and red categories - typically used as "Normal" and "High" defects:

    • You can rename the categories anything you wish, but cannot change the color.

    • By default, all new defects will use the orange category.

    • When you add a new defect, there will be a check box to change that defect to the red category:

  • Three Defect Categories

    • When using three defect categories, the system sets up low, medium, and high priorities - labeled as blue, orange, and red, respectively:

    • You can rename the categories anything you wish, but cannot change the color.

    • When you add a new defect, there will be three flags you can click on to label the defect with the appropriate category:

Frequently Asked Questions

  • Can I change the color of the defect categories?

    • Unfortunately not! The 3 colors for the categories are built into the system, so they can't be changed at this time.

  • I need more than 3 defect types, can I add more?

    • Unfortunately, each template is set to only have 3 defect types, so you won't be able to add additional categories.

  • What if I don't want to use 3 categories? Can I use less than 3?

    • You sure can! You can select 1, 2, 3, or even no categories here:
