Coming across a missing refund button can be annoying for businesses and customers alike. This problem usually happens because of certain payment processing conditions and platform policies. In this article, we'll delve into the usual reasons behind a missing refund button, like pending transactions and external payment methods.

ACH/Bank Transfer Payments

The orange refund button won't show up until the payment has finished processing, which usually takes about four business days for ACH payments. So, you'll have to wait until the payment has completely gone through before you can issue a refund.

πŸ’‘ Pro-tip: You can receive a notification when an ACH payment finishes processing! Click here to see how to enable this notification.

Other Payments

If you received payment through an external method such as Zelle, CashApp, Venmo, or another service, the refund button will not be available in Spectora. Since the payment was processed outside of Spectora, you cannot issue a refund through the platform. To refund the client, you will need to use the original payment method or make other arrangements to issue the refund.

Frequently Asked Questions

  • Does canceling an inspection automatically issue a refund?

  • Does removing a service from the inspection issue a refund to the client for that amount?

  • The client canceled their inspection, but I see that the ACH payment is still processing. Is there a way to cancel it before it is finalized?

    • Unfortunately, we are not able to cancel a payment. You will need to wait for the payment to finish processing and then refund the client.

  • Can I just add a negative amount to the inspection fees as a workaround for refunding an ACH payment?

    • No - adding a negative amount to the fees/invoice of an inspection does not automatically refund the client that amount of money. You'll need to wait until the bank transfer is done processing before you can issue a refund.
