If you’re in the middle of scheduling an inspection and need to pause or finish it later, Spectora’s draft inspections feature is here to help. This feature allows you to save any incomplete bookings directly from the scheduler, so you can easily pick up where you left off without starting from scratch. However, it's important to know that bookings initiated through the online scheduler, but not completed, do not automatically save as draft inspections.

Here’s everything you need to know about resuming incomplete bookings and managing draft inspections in Spectora.

What Are Draft Inspections?

Draft inspections are inspections that have been started in the Spectora scheduler but haven't been completed. This feature is useful when you need to gather more information before finalizing a booking or if you get interrupted while creating a new inspection. These drafts save all the details you've entered so far, allowing you to quickly resume the booking process whenever you’re ready.

Saving a Draft Inspection

Saving a Draft Inspection is effortless: simply navigate away from the page without saving the appointment. This action will automatically save the inspection as a draft.

Check out this video walk-through on how it works:

Information that is saved:

  • Property details and address

  • Contact information

  • Services and Fees

How to Resume Incomplete Bookings

These inspections are stored in the Draft Inspection widget.

  1. Access the Draft Inspections:

    • Log in to your Spectora account and navigate to the Inspections tab from your dashboard.

    • Look for the Drafts section, where all of your saved incomplete inspections will be listed.

  2. Select the Draft Inspection:

    • Click on the draft inspection you want to resume. This will open the inspection form with all previously entered information intact.

  3. Complete and Save the Inspection:

    • Continue filling out any remaining details and click Save once the inspection is complete. Your inspection will now be added to the list of scheduled inspections.

For company admins, this widget is on all non-Advanced accounts at the bottom right corner of the dashboard.

Company Admins with Advanced enabled will need to add this widget to their dashboard using the + widget option on the top right corner of the dashboard.

Once you have the Draft Inspection widget, all you need to do is click the appointment to resume booking!

Deleting Draft Inspections

Draft inspections delete automatically after 7 days from when they were initially saved, or after they are completed and booked as inspections.

An option to delete them before this 7-day period runs out is coming soon!

Important Note on Online Scheduler Bookings

Bookings started through the online scheduler but not completed do not automatically save as draft inspections. If a client begins the booking process on your online scheduler but does not complete it, the booking information is not retained as a draft. To avoid losing this data, make sure to complete the booking process promptly or communicate with the client to gather any missing details.

Benefits of Using Draft Inspections

  • Flexibility: Draft inspections allow you to pause and resume scheduling at your convenience, without losing any information.

  • Efficiency: Save time by avoiding the need to re-enter data for inspections that aren’t completed in one sitting.

  • Organization: Keep track of all incomplete inspections in one place, ensuring nothing falls through the cracks.

Tips for Managing Draft Inspections

  • Regularly Check Your Drafts: Make a habit of reviewing the Drafts section to follow up on any inspections that need to be completed.

  • Prompt Communication: For online scheduler bookings, communicate quickly with clients to ensure all necessary information is collected to avoid losing any booking details.

  • Use Notes: Add internal notes to draft inspections to remind yourself of any missing information or client preferences.

Frequently Asked Questions

  • Can I search for a draft inspection using the "search everything" bar?

    • Unfortunately not. The site-wide search bar will only show fully scheduled inspections. It does not show draft inspections.
