Editing Team Permissions

Learn where you can give your sub-inspectors permissions to schedule, publish, add to template, and admin functions.

As a company admin, you can control which inspectors and support staff have which privileges and what level of access. In this article, we'll show you how to enable and disable permissions, plus what each permission means.


How to Edit Permissions

Enabling and disabling permissions is as easy as checking or unchecking a box. In this section, we'll show you how to edit the permissions for support staff and inspectors.

  1. Click "Settings"

  2. Click "Team"

  3. To enable a permission, click the box to add a checkmark

  4. To disable a permission, click the box to remove the checkmark

And that's it!


Inspector Permissions

Inspectors have specific permissions available to them. These permissions can allow them to schedule inspections for themselves and other inspectors, make edits to the company's templates, and access company information like billing, subscriptions, metrics, and more. These permissions can only be enabled or disabled by a company admin.

Let's break down each of these permissions a little more.

  • Schedule Self

    • Allows an inspector to schedule inspections only for themselves and see only their inspections.

    • This also prevents inspectors from adding or switching inspectors in the People box on a scheduled inspection.

    • It is only possible for the inspector to see their own events/inspections

    • Creating a new event only shows their own name in the assignee dropdown, can edit their own events

    • Inspector is able to reschedule their own events/inspections via drag/drop

    • When scheduling a new inspection, the form will default to their own name, and they will be unable to change that to another inspector

    • Cannot assign any other inspectors to an inspection

    • Able to remove self and other inspectors assigned

    • Able to edit anything but pay splits and assignment on the inspection they’re assigned to: fees, services, partnerships, reports, etc

    • Can only see their own pay split on assigned inspections

    • Can cancel or delete any inspection they are assigned to

  • Schedule All

    • Allows the person to schedule inspections for any inspector on the team and see other inspector's schedules.

    • Allows the inspector to see all events/inspections across the company

    • Can create a new event for any inspector

    • Able to reschedule all events/inspections

    • When scheduling a new inspection internally, the dropdown defaults to the first inspector listed on the Team page; the inspector is able to choose any company inspector for a new inspection

    • Able to create Inspection Events for any inspector

    • Can access and edit any company inspection whether assigned or not

    • Can assign any other inspectors to an inspection

    • Can remove self and other inspectors from an inspection

    • Able to edit anything but pay splits on inspection: fees, services, partnerships, reports, etc

    • Inspector can see their own pay split on all inspections, but cannot see or edit others’ pay splits unless they are an admin

  • Publish

    • Allows the inspector to publish reports.

    • If not enabled, they will go into a queue in the admin's Spectora dashboard for review and approval. A company admin will need to publish.

      • If permission is not enabled, there is no "publish" button on the Inspection Details page

      • When viewing the report, a ‘Submit Report’ button appears instead of ‘Publish’

      • Once submitted, an alert icon appears on the calendar confirming submission for admin approval

    • Still able to ‘Quick Publish’ from individual report dropdown


  • Default to V10

    • When this permission is enabled, reports assigned to the inspector will automatically be built as V10.

    • For this setting to work, the company setting for defaulting to V10 must be off

      • If "default to V10" is on for the COMPANY, this permission will be checked and locked for all inspectors on the team page

    • Reports on inspections will be built based on this permission box at the time of the build, not the time the inspection was booked

    • If an inspection is assigned to multiple inspectors and any of them have this permission UNCHECKED at the time of reports building, the inspection will build as a V9 report

  • Add to Template

    • Allows an inspector to add new sections, items, or comments to the template while editing a report.

      • If this setting is not enabled, this will only allow them to add one-off changes to reports that do not impact future inspections.


  • Edit Template

    • This will allow the person to edit the template and export or share the template.

    • If this access is not enabled, the Template editor will be removed from their dashboard.

  • Trainee

    • Trainees default to not showing on client-facing pages and reports.

    • They will not show up on the online scheduler or company profile page.

  • Manage Contacts

    • Allows the person to add, edit, transfer, and delete contacts from the Contacts page.

    • Able to edit/add contacts to the People box on the Inspection Details page

    • Note: Clients must be deleted from the inspection in order to delete them from the Contacts page.

  • Access Financial Data

    • Allows the person to access financial information including the following

      • Metrics

      • Data Exports

      • Payments

      • Billing

      • Pay Splits

      • Actions

    • If this permission is not enabled, these will be removed from their navigation menu.

  • Admin

    • Admins have full access to company settings, subscriptions, and email templates.

    • Allows inspector to view the change log on inspections

    • If only the admin permission is enabled, the inspector -

      • Cannot access the contacts tab

      • Can edit contacts in the People box on the Inspection Details page

      • Can fully access settings (business tools, integrations, etc)

      • Cannot see Payments without financial data permission

      • Can edit/see team permissions

      • Can see all Spectora Reviews

      • Can see and manage Sample reports

      • Cannot see Advanced tools, but can access Actions


Support Staff Permissions

Just like inspectors, support staff members have permissions that can enabled or disabled by company admins.

  • Schedule

    • Allows the person to schedule inspections for any inspector on the team and see all inspectors' schedules.

  • Edit Inspections

    • Allows the team member to edit information on the Inspection Details page of any inspection.

  • Delete Inspections

    • Allows the team member to delete any inspection.

  • Publish

    • Allows the support staff member to publish reports.

    • If not enabled, they will go into a queue in the admin's Spectora dashboard for review and approval. A company admin will need to publish.

  • Add to Template

    • Allows the support staff member to add new sections/items/comments to any template

    • If this setting is not enabled, this will only allow them to add one-off changes to reports that do not impact future inspections.

No Permissions Enabled

You can choose to not enable any permissions for an inspector or support staff on your team. Without any permissions enabled, the team member is able to do the following:

  • Can still access

    • Equipment/equipment reporting

    • Assigned inspections

    • Tasks

    • Conversations

    • User settings

      • Dashboard settings

      • Nav bar

      • Calendar integrations

      • Own Username/password

    • Assigned inspections

    • Services & Add-ons on the Inspection Details page

    • Fees & Payments on the Inspection Details page

  • Cannot access

    • Change log on inspections

    • Any inspection or event other than those assigned to them
