How to Use the Online Scheduler in Spectora

Spectora’s Online Scheduler makes it easy for clients to book inspections directly through your website, streamlining the process for both you and your clients. With the scheduler, clients can select a date, choose from available services, and even add any desired add-ons—all with just a few clicks.

Here’s how to set up and use the Online Scheduler effectively to maximize bookings and simplify your scheduling.


How to Enable the Online Scheduler

Before enabling the Online scheduler, set up your services & fees, and availability to be sure you are ready to go.

  1. Click "Settings"

  2. Click "Online Scheduler"

  3. Check the "Enable Online Scheduling" box


Customizing your Online Scheduler

  1. To require clients/agents to enter their contact info before selecting their inspection date, check the "Display Contact Info before Date Selection" box

  2. To prevent last-minute bookings, utilize the "Don't allow scheduling within:" option and set your preferred time frame

  3. To allow clients/agents to choose their preferred inspector, check the box "Allow choice of inspectors"

  4. If you'd like to hide your service pricing in the scheduler, check the box "Hide pricing"

  5. Enabling "show client pricing details" will show the breakdown of all fees for the inspection- such as how much was added for square footage, mileage, add-ons, etc.

  6. Checking the "Allow Requests Notes" option will add a free-entry text box to the scheduler prompting for additional comments: "Anything else you'd like us to know?"

  7. To have all online inspections show as unconfirmed on your calendar, check the "Require confirmation" box

  8. This text will appear once a client completes the online scheduler process

    1. You can customize this as much as you want!

  9. Check the "Receive an Email" boxes to be notified of completed and in-progress bookings via email

  10. Enter the email(s) you want to be notified of these bookings

    1. If no email is entered, all company admins will receive the booking emails

  11. Check the "Receive a Text" boxes to be notified of completed and in-progress bookings via text message

  12. Enter the phone number you want to be notified of these bookings


Getting Notified for Bookings

You can get messaged through text or email for either completed appointments or in-progress bookings to know when to follow up.

If you have opted in to receive an email and/or text message when a booking is in progress, you will receive a notice from Spectora with all of the details that have been captured:


Once the booking is complete, if you have opted in to receive an email and/or text message for completed bookings you will receive a notice from Spectora that a new inspection has been scheduled:


Walkthrough For Clients

Here’s what clients will experience when they use your online scheduler:


  1. First, select the services and add-ons to be performed for the inspection

  2. Enter the full address of the home/property being inspected

  3. Click "Next" once all services are selected and the address has been entered

  4. Next, select the date and time of the inspection

  5. Enter the name, email, and phone number of the inspection client

  6. The client's agent information can be searched for or entered in the 'Agent' field

  7. Once the client and agent information has been entered, click "Next"

  8. Verify the inspection information

  9. Once all information is verified and correct, click "Schedule"

  10. A confirmation will appear once the inspection has been submitted


Use the Scheduler on Your Website

  • Click "My Online Scheduler" at the bottom of your settings. This will take you to your scheduler. Once open, copy the URL at the top of your browser's address bar to link to it on a website or social media.


  • If you want to embed your scheduler on a website (include it in a way that it can be accessed without being redirected to Spectora), use the embedding code to add it.


🔴 Note: 🔴

Unfortunately, we cannot guarantee that the automatic square footage or year built will be the same as the online listing for a home.

There isn't currently a database that offers the square footage of homes without any margin for error. Some include the basement sqft, some don't have the most recent additions to the house, etc.!

You can always edit the square footage or pricing after the inspection is created, or turn off the square footage auto-calculation entirely.

This can be done in Settings > Scheduling Options > Uncheck the Enable Sqft/Age of Home Data. By turning off the automatic square footage and age of home, your client or agent will need to fill in that field using the listing information.


Frequently Asked Questions

  • I received a message that an inspection booking was in progress but I can't find the inspection on my dashboard.

    • If you've received an in-progress notice but not one confirming the inspection was scheduled, this inspection was abandoned during the scheduling process. Inspections abandoned in the online scheduler do not save as draft inspections. Use the information provided in the in-progress notification to reach out to the scheduling party and finalize the inspection!

  • How do I stop scheduling emails from going to my employees?

    • Enter your own email on the "receive booking email" line to ensure that only you are receiving the emails
      AND/OR

    • Remove the "admin" status from the other inspector via your Team page.
