We recommend new users start by setting up the Spectora Profile. Your profile is where your information lives - your credentials, profile picture, company address, and more. This information is important to fill out so clients know who they're working with.

How to Add Your Profile Picture

Your profile picture allows your clients and agents to put a face to the name of their inspector! Be sure to follow the steps below to add your profile picture.

  1. Click "Settings"

  2. Click "Team"

  3. Click your name

  4. Click the default photo

  5. Select your new profile picture from your computer files

  6. Click "Save"


How to Add Your Credentials (License Number)

It's important to have your credentials (license number) in your profile so your clients and agents can see that you are a licensed professional. Some states may even require your credentials to be listed in the report. Follow the steps below to see how to add or update your license number to your account.

  1. Click "Settings"

  2. Click "Team"

  3. Click your name

  4. Enter your credentials

  5. Click "Save"

How to Add Your Company Logo & Header

Your company logo is used in your reports and invoices. Similarly, your company header is used in your email communications to clients and agents. Follow along with the steps and video below to see how to add your company logo and header to your account.

  1. Click "Settings"

  2. Click "Profile"

  3. Click the pencil icon in the generic logo

  4. Select your company logo picture from your computer files

  5. Click the pencil icon in the generic logo

  6. Select your header logo picture from your computer files

  7. Click "Save Profile"

How to Add Your Company Address & Contact Info

Your Spectora account is all about your business, so having your company information entered is important to show clients and agents how to get in contact with you. You can enter your company address and contact info (including phone number, website, and email) directly into your profile using the steps below.

  1. Click "Settings"

  2. Click "Profile"

  3. Enter your company name and address

  4. Enter your company phone number

  5. Enter your website URL

  6. Enter your company email

  7. Click "Save Profile"

How to Add or Change Your Company Name

When you have a company with multiple inspectors, it's simple to add or update your company name whenever you need a brand refresh!

  1. Click "Settings"

  2. Click "Profile"

  3. Click into the "Name" field

  4. Change or add your company name

  5. Click "Save Profile"



Frequently Asked Questions

  • How do I get signatures on my reports?

    • As long as you have a signature on your profile, we can populate it onto any report!  Here's an article about that.

  • Do I have to use my personal address if I don't have a company address?

    • You will have to enter your business address into your profile, which does have to coincide with the address your business is registered under. This will only show on your Spectora public profile.

  • My home address is the same as my company/business address. Can I enter that?

    • Sure thing!

  • My personal phone number is the same as my company/business number. Can I enter that?

    • Absolutely!

  • I’m trying to upload a picture to my profile, but it’s not saving it. Why?

    • Check the file format of your photo; it will only be accepted if the format is JPG/JPEG.

  • I don't see the "Profile" option under my Settings. What gives?

    • If you're part of a multi-inspector company, your company may have certain permissions disabled, including the ability to edit the profile. You can reach out to your company admin and have them add your new profile picture.

  • What is my Header Logo used for?

    • Your header logo will only show on your Agreements, and that's it. Keep this in mind when choosing your header logo.

  • I need to change ALL of the email addresses that you have on file for my business. Is there one place to change my email globally? What do I need to change?

    • Unfortunately, there is not a global place to change your email. Each of the places where your email may be entered relates to different parts of the software. Every company functions a little bit differently, though, so these places for emails are separated and allow companies to adjust as they see fit. Some companies want their office staff to be notified of online bookings but only want the company owner notified for things like payments/payment issues.

    • To ensure you have changed your email in all relevant places, see the checklist below:

      • Update your company profile under Settings > Profile.

      • Change your Point of Contact to "Company" in Settings > Email under Business Tools. This ensures emails are sent from your company email.

      • Update your payment notifications under Settings > Payments.

      • Update your schedulers for booking notifications under Settings > Scheduling Options > Online Scheduler.

      • Update your login email under Settings > User Settings > User Options.
