Quick Start Guide: Availability

Set your availability for the Online Scheduler. Scheduler, Online Scheduler, availability, time slots, schedule, open schedule, Spectora University, book, bookings, booking times.

Setting up your availability in Spectora helps in a couple of ways:

  • Your online scheduler will only show your available times for clients and agents to book, so no one will request an inspection for your off hours or double-book you during another scheduled inspection.

  • When scheduling your inspections internally, you will get a warning if it is outside your 'available' times (but this will not stop you from completing the booking, so be careful!)

In this article, we'll show you how to set up your availability in two ways: Open Schedule or Time Slots. Once you've set up your availability, your changes will save automatically and reflect on your Online Scheduler.

How to Set Up Availability with an Open Schedule

Open Schedule lets you say "I work from 8:00 AM to 5:00 PM" and allows for any scheduling within that block. You can even have multiple time blocks to give yourself a break, for example, "8:00 AM to 12:00 PM" and "1:00 PM to 5:00 PM". Below are the steps to set up open schedule availability.

  1. Click "Settings"

  2. Click "Availability"

  3. Click the toggle so it is on the left towards "Open Schedule"

  4. Click on the inspector to open their availability tab

  5. Click "+Block" to add a time frame to that day of the week

  6. Set your time frame block

  7. To set an additional time frame, click "+Block"again

  8. Set your second time frame block

Pro-tip: Open Scheduling is more useful when your inspection lengths vary!


How to Set Up Availability with Time Slots

Time Slots are specific start times for inspections. This lets you say "I can start an inspection at 8:00 AM, 11:30 AM, or 3:00 PM". You can set different time slots for different days of the week too!

  1. Click "Settings"

  2. Click "Availability"

  3. Click the toggle so it is on the right towards "Time Slots"

  4. Click on the inspector to open their availability tab

  5. Click "+Slot"

  6. Set your first time slot

  7. Click "+Slot" again to add another time slot

  8. Set your second time slot

  9. Repeat the steps until you have all of your desired time slots entered
