How to Clear Text Formatting

Clearing formatting in Spectora is easy and helps keep your reports, agreements, and emails clean and professional. Follow these steps to ensure your text looks great every time.


What Clearing Formatting Does

Clearing formatting removes all the styles and formatting from a selected portion of text, reverting it to plain text. Here’s what happens when you clear formatting:

  • Removes Text Styles:

    • Bold, Italics, Underline: Any bold, italic, or underline styles are removed.

    • Strikethrough: Any text with a strikethrough will have this effect removed.

  • Resets Text Appearance:

    • Font Type: The text reverts to the default font type.

    • Font Size: Any custom font sizes are reset to the default size.

    • Font Color: Colored text returns to the default color (usually black).

  • Clears Background Color:

    • Any background colors or highlights applied to the text are removed.

  • Removes Links and Anchors:

    • Any hyperlinks or anchors embedded in the text are removed.

  • Resets Alignment and Indentation:

    • Text alignment (left, right, center) is reset to the default alignment.

    • Any indentation or spacing settings are reset.

  • Strips Other Formatting:

    • Superscript/Subscript: Any superscript or subscript formatting is removed.

    • Lists: Bulleted or numbered lists are converted to plain text.

    • Tables and Images: Any embedded tables or images are removed.


When to Clear Formatting

There are a few instances where it may be beneficial to clear text formatting:

  • Pasting Text from Other Sources: When you paste text from word processors or websites that bring unwanted styles.

  • Fixing Inconsistent Formatting: When your document has mixed styles that need to be unified.

  • Preparing for New Formatting: When you want to apply a new, consistent style to your text.

Clearing Formatting in an Agreement

  1. Click "Settings"

  2. Click "Agreements"

  3. Click on the agreement you want to edit

  4. Highlight the text you want to clear by clicking and dragging your mouse over it

  5. Once you've highlighted the text, click the eraser icon to clear the formatting

  6. Click "Save Agreement" when finished


Clearing Formatting in a Template

  1. Click "Templates"

  2. Click "My Templates"

  3. Select your template from the dropdown menu

  4. Click on a section in the left column to open it

  5. Click on an item in the middle column to open it

  6. Click on a comment to expand it

  7. Highlight the text you want to clear by clicking and dragging your mouse over it

  8. Once you've highlighted the text, click the eraser icon to clear the formatting

Clearing Formatting in a Report

  1. Click on the inspection to open the Inspection Details page

  2. Click on the report name in the 'Reports' box to open the web editor

  3. Click on a section in the left column to open it

  4. Click on an item in the middle column to open it

  5. Click on a comment to expand it

  6. Highlight the text you want to clear by clicking and dragging your mouse over it

  7. Once you've highlighted the text, click the crossed-out 'A' icon to clear the formatting

Clearing Formatting in Automation Emails

In this section, you'll see how to clear the formatting in your automated emails.

  1. Click "Automation"

  2. Click on an automation group to expand it

  3. Click "Edit Template" to the right of the email you want to edit

  4. Highlight the text you want to clear by clicking and dragging your mouse over it

  5. Once you've highlighted the text, click the eraser icon to clear the formatting

  6. Click "Save Agreement" when finished


Clearing Formatting in Action Emails

In this section, you'll see how to clear the formatting in your Actions emails.

  1. Click "Actions"

  2. Click on an actions group to expand it

  3. Click on the subject box to the right of the email you want to edit

  4. Highlight the text you want to clear by clicking and dragging your mouse over it

  5. Once you've highlighted the text, click the eraser icon to clear the formatting

  6. Click "Save Agreement" when finished
