How to Manage Team Notification Settings

Control which notifications your team receives and they decide how they get them.

Spectora gives you two levels of control over operational notifications: admins decide which notifications each user receives, and individual users can choose how they receive them: via email, in-app, or both.


Where to Find Team Notification Settings

There are two ways to navigate to the team notifications settings in your account.

Method 1:

From Admin settings:

  1. Click "Settings"

  2. Click "Team"

  3. Click "Team Notifications"

    From here, you can manage notification preferences for each member of your team by clicking on the pencil icon to the right of each user's name and notification statuses and toggling options on and off:

    Method 2:

    From the NOTIFICATIONS section on the Dashboard:

    1. Click on the NOTIFICATIONS bar

    2. Click on the gear in the upper right corner of the NOTIFICATIONS section

    3. Choose TEAM NOTIFICATIONS

    From here, you can manage notification preferences for each member of your team by clicking on the pencil icon to the right of each user's name and notification statuses and toggling options on and off.

💡Quick Tip: Company notifications have a red indicator on the dashboard, while user (inspector) notifications have a blue indicator!


Where to Find User Notification Settings

There are two ways to navigate to the user notifications settings in their accounts.

Method 1:

From User Settings:

  1. Click "Settings"

  2. Scroll down to "User Settings"

  3. Click "Edit Notifications"

From here, each user can control how their notifications are delivered:

Method 2:

From the NOTIFICATIONS section on the user's Dashboard:

  1. Click on the NOTIFICATIONS bar

  2. Click on the gear in the upper right corner of the NOTIFICATIONS section

  3. Choose MY NOTIFICATIONS

From here, each user can control how their notifications are delivered:

💡Quick Tip: User (inspector) notifications have a blue indicator on the dashboard, while company notifications have a red indicator!


Types of Notifications

In the settings section of your account, notifications are grouped by type. There are currently five types of notifications, but this may be expanded in the future. You can choose to enable or disable entire types of messages for each user or staff member.

Example: If you disable the Scheduling notification type for an user, they won't receive ANY scheduling notifications.

Within each type of notification are the exact messages you can enable or disable for each user.

Example: If you enable the Scheduling notification type for an user, but disable only the Add-on Service Request message for an user, they will receive messages about templates and agreements, but not about add-on service requests.

The following notification types and messages can be configured for each member of your team:

Payments

The payments notification option will send messages about payment confirmations, failed transactions, refunds, and payment disputes.

Inside the payments notification section, you can enable or disable:

  • Stripe Account Compliance - Get notified when Stripe data is needed, and payments and/or payouts are at risk.

  • Payment Disputes - Get notified about new and existing payment disputes.

  • Payment Failure - Get notified when a bank transfer fails for an inspection.

  • Payment Received - Get notified when a payment is received for an inspection.

Scheduling

The scheduling notification will send messages about inspection scheduling, agreements, templates, and service requests.

Inside the scheduling notifications, you can enable or disable:

  • Add-on Service Request - Get notified about add-on service requests from clients.

  • Templates - Get notified when a template is deleted that has dependent services or add-ons.

  • Agreements - Get notified when an agreement is deleted that has dependent services.

Billing

The billing notification will send messages about subscription renewals, billing updates, and advanced billing activities.

Inside the billing notifications, you can enable or disable:

  • Subscriptions - Get notified when a subscription is at risk or cancelled.

Communications

The communications notification will send messages about email delivery status, text message usage, and contact updates.

Inside the communications notifications, you can enable or disable:

  • Email Delivery Failed - Get notified when an email fails to deliver to a recipient.

  • Text Message Send Error - Get notified when a text message fails to send.

  • Contacts Imported Completed - Get notified when a contact import has been completed.

Integrations

The integrations notification will send messages about the status and activity of your connected third-party integrations.

Inside the integrations notifications, you can enable or disable:

  • Google Calendar - Get notified when the Google Calendar integration encounters an issue.

  • Google Drive - Get notified when the Google Drive backup integration has an authorization issue.

  • MailChimp - Get notified when the MailChimp integration encounters an issue.

  • HomeBinder - Get notified when the HomeBinder integration encounters an issue.

Note that the HomeBinder option will only show if a company has the HomeBinder integration enabled.

💡 Quick tip: All notifications default to on when an user with admin privileges is added to an account.

Notifications for Payments and Billing default to off when an user without admin privileges is added to an account.

All defaults can be overridden by an user or staff member with admin privileges.


Advanced Notifications

For companies with Spectora Advanced, there are additional notifications that can be enabled, depending on what the company has enabled.

Scheduling

If a company has enabled Inspection Events under Settings > Spectora Advanced > Advanced Tools, admins will see an additional notification under Team Notifications > Scheduling:

  • Inspection Events - Get notified about important inspection events.

If a company has enabled Service Limitations under Settings > Spectora Advanced > Advanced Tools, admins will see a second additional notification under Team Notifications > Scheduling:

  • Inspection Service Limitation - Get notified when an inspector cannot fulfill a requested service.

Billing

A company with Spectora Advanced will see an additional notification under Billing:

  • Advanced Billing - Get notified when Advanced is at risk or cancelled.


How Notification Delivery Works

Admins control which notifications each user receives. Users control how they receive them.

Each user can choose their preferred delivery method:

  • In-App — notifications appear under the NOTIFICATIONS section of the Dashboard

When an user or staff member receives a notification, a blue indicator with the number of unread notifications will display next to the NOTIFICATIONS header:

Click on the NOTIFICATIONS bar to expand and view messages:

Click on Company or Inspection to view notifications that apply to the company (subscription, template, agreement, etc.) or to an individual inspection (payment, email failure, text failure, etc.):

If it is an Inspection notification, click on View to navigate to the inspection:

Click on Dismiss to remove the notification from the NOTIFICATIONS section:

  • Email — notifications are sent to the user's email on file

  • Both — notifications are delivered through both channels

🔴 Note: Not all notifications are available through both delivery methods. If a specific channel isn't available for a notification type, that option won't be selectable.

Example:

Notifications for Add-on Service Requests are available as both email and in-app messages, but notifications for Templates and Agreements are only available as in-app messages:


Frequently Asked Questions

  • Can I set different notification preferences for different users?

    • Yes! Each user can have their own notification settings. Users with admin privileges can set up which notifications they receive. Users without admin privileges will need to have an admin set their notifications up for them.

    • Except in cases where notifications are only available through a single channel, each User has control over how they receive their notifications. They can choose to receive them in-app (under the NOTIFICATIONS section on their dashboard), by email, or both.

  • Can users opt out of notifications entirely?

    • Yes, users can choose to turn off all notifications as long as:

      • One admin on the account must receive payment and billing notifications.

      • Spectora recommends that at least one admin user receive ALL notifications.

  • Can dismissed notifications be restored?

    • Yes! Click on the NOTIFICATIONS bar on the Dashboard.

    • Toggle the button beside "Show Dismissed" so it turns blue.

  • Messages that have been dismissed will now display.

  • Click on "Restore Alert" below the notification to restore it back into your NOTIFICATIONS section.

  • Can notifications be organized on the Dashboard?

    • Yes! You can sort Dashboard notifications by newest first or oldest first.

    • Click on the NOTIFICATIONS bar.

    • Click on the dropdown box next to "Sort" and select your filter:

  • How do company-level notifications differ from inspection-level notifications?

    • Company-level notifications will take priority over inspection-level notifications and display a red counter vs blue counter, as they are typically more impactful for the company and could be urgent.

  • How far back and forward do notifications display?

    • We only store notifications from the past 60 days and display up to 30 days in the future.
