How to Take a Split Payment Without Spectora Payments

If your client is splitting the cost of the inspection with someone else like the agent or a family member, or needs to pay with more than one card, we now have the option of Multi-Party Payment with Spectora Payments. Check out this article for more information and how to use this option!

If you do not use Spectora Payments, you can follow this article for a work-around that makes it easy for you to take a split payment. Below, we'll show you how to edit the fees of the inspection to take separate payments.

How to Take a Split Payment (If Not Using Spectora Payments)

Taking a split payment can be done in just a few steps. For each card being used to pay, you'll need to adjust the fees accordingly before the client or other party makes a payment. In this section, we'll show you step-by-step how to take a split payment.

  1. Click on the inspection to open the Inspection Details page

  2. Click the 3 dots in the "Fees & Payments" box

  3. Click "Edit Fees & Payments"

  4. Edit the amount to reflect the first part of the payment

    1. Ex. If the inspection costs $400 and the client is making two payments, edit the fee amount to be $200

  5. Click "Save"

  6. Have the client make the first payment online

    1. OR Click "Client View" to manually enter their card info

  7. Once the first payment is made, click the 3 dots in the "Fees & Payments" box again

  8. Click "Edit Fees & Payments"

  9. Edit the amount to reflect the full price of the inspection cost

  10. Click "Save"

  11. Have the client make the second payment online to pay the remaining balance

    1. OR Click "Client View" to manually enter their card info

That's it! If your client needs to use more than two cards, just repeat the steps. You can edit the fees to reflect however much the client needs to put on each card.


Creating a Separate/Standalone Invoice (If Not Using Spectora Payments)

If you use Spectora Payments, you can easily do this with Multi-Party Payments. If you do not use Spectora payments, follow the steps below to create a separate invoice.

If you need to take payment and have a separate invoice for the third party, creating a new inspection for the other party with only the necessary service and their details is a practical workaround. Here's a step-by-step guide to facilitate the process:

  1. Create a New Inspection: Generate a new inspection specifically for the needed service that the 3rd party will pay for. Ensure that all relevant details, such as the service description and pricing, are accurately included.

  2. Enter 3rd Party's Information: Input the other party's information as the client for this inspection. Include their name, contact details, and any other pertinent information required by your system.

  3. Confirm the Inspection with Notifications: Confirming the inspection as normal will send an email to the 3rd party with a link to the portal. This portal will contain a copy of the invoice and allow them to pay online.

  4. Payment and Record-keeping: Once the payment has been successfully made by the 3rd party through the portal, ensure that you receive confirmation of the payment. Record the transaction details for your records, including the invoice number, payment amount, and date of payment.

While this workaround may involve a few extra steps, rest assured that it is a practical and effective option!


Using the Share Details Button

The most direct way to have another party pay for the entire inspection if you're not using Spectora Payments is to send them an email via the Share Details button. This will include a link to Client Portal, where the third party can pay for the inspection.

Keep in mind, the Client Portal contains everything the client is able to see for the inspection; the invoice, agreements, and the final report. If you do not want the third party to have access to this data, do not use this work-around.


Taking Payment Over the Phone

If you don't need a separate invoice for the 3rd party and they are comfortable giving their card info to you, you can easily take payment over the phone.

  • Can this work around be used for subscription payments?

    • No, you cannot split payments for subscription payments. This work-around is only for inspection payments.

  • Why isn't there a feature for split payments?

    • There is! Called Multi-Party Payments, you have access to this feature if you use Spectora Payments.
