Using Spectora Advanced, you can send customized emails based on specific answers from your Custom Scheduling Fields. In this article, we'll cover some commonly used Advanced Automations created with Custom Scheduling Fields.
✨ Not familiar with Custom Scheduling Fields or just need a quick refresher?
These custom fields will be available on your Online Scheduler as well as when you schedule an inspection internally with the +New Inspection button
Creating an Automation for "Client Not Attending" Email
Let's say your custom field asks, "Will the client be attending?" and your drop-down answers are Yes and No. Follow the steps and check out the video walk-through below to see how to create an automation when the answer is No.
✨ Be sure you set up your Custom Scheduling Fields before setting up the Automation!
Click "Automations (Adv)" in your navigation bar
Click "+ New Automation"
Name the automation and select a category
Click "Start" on When this happens
Select an option like "Inspection Scheduled (Confirmed)"
Click Save
Click "Add condition" under Only send if
Set up "If Client will be attending? is No" (however your custom field is set)
Click Save
Click "Add communication"
Fill out your email body and utilize the placeholders on the right to auto-fill important inspection data like address, date, and time
Here you can set time constraints and enable additional settings
Click "Save"
Click "Save As Active" to ensure it is present on all future inspections
Creating an Automation for Septic Upsells
In this example, let's say you perform septic inspections and want to upsell that service, but only if you know the home has a septic tank (based on your custom scheduling fields). You can create an Automation with two conditions:
If > Custom Field > Does the home have a septic tank? > is > Yes
If > Service Addon > Residential Inspection - Septic Add On > is not included in Inspection
Follow along with the steps and video walk-through below to create the Automation email for a Septic Upsell:
Click "Automations (Adv)" in your navigation bar
Click "+ New Automation"
Name the automation and select a category
Click "Start" on When this happens
Select an option like "Inspection Scheduled (Confirmed)"
Click Save
Click "Add condition" under Only send if
Set up "If Does the home have a septic tank? is Yes" (however your custom field is set)
Click Save
Click "Add communication"
Fill out your email body and utilize the placeholders on the right to auto-fill important inspection data like address, date, and time
Here you can set time constraints and enable additional settings
Click "Save"
Click "Save As Active" to ensure it is present on all future inspections
✨ With these two conditions, having "And" in the middle, means both conditions must apply for the automation to fire. So if the client answered Yes to having a septic tank and did not already choose your septic inspection add-on, you can trigger your upsell email!
Creating an Automation for Property Details
You can send Automations based on the property details listed on the standard scheduling field for example Age of Home and Foundation.
Foundation
If you want to send an email for a specific foundation type, like crawlspace, you can build an Automation using that detail.
Year Built
You can also create an Automation based on the year the home was built. This is useful if there is information you'd like to share with clients about older homes.
Click "Automations (Adv)" in your navigation bar
Click "+ New Automation"
Name the automation and select a category
Click "Start" on When this happens
Select an option like "Inspection Scheduled (Confirmed)"
Click Save
Click "Add condition" under Only send if
Set up "If Foundation is Crawlspace" for Foundation
Set up "If Year built is before (type year)" for Age of Home
Click Save
Click "Add communication"
Fill out your email body and utilize the placeholders on the right to auto-fill important inspection data like address, date, and time
Here you can set time constraints and enable additional settings
Click "Save"
Click "Save As Active" to ensure it is present on all future inspections
✨ The way this logic works is if the Year Built number is less than 2000 (say 1955 for example), this email will fire.
