Creating Actions for Custom Scheduling Fields

How to create Actions for different Custom Scheduling Fields (and property details1)!

Using Spectora Advanced, you can send customized emails based on specific answers from your Custom Scheduling Fields. In this article, we'll cover some commonly used Actions created with Custom Scheduling Fields.

Not familiar with Custom Scheduling Fields or just need a quick refresher?

*These custom fields will be available on your Online Scheduler as well as when you schedule an inspection internally with the +New Inspection button


Creating an Action for "Client Not Attending" Email

Let's say your custom field asks, "Will the client be attending?" and your dropdown answers are Yes and No. Follow the steps below to see how to create an Action when the answer is No.

  1. Click your profile picture in the top right corner of the Dashboard

  2. Click "Actions" in the dropdown menu to open your Company Actions page

  3. Click to open the actions group where you'd like to add a new action

  4. Click "+ Add Action"

  5. Set your event time

  6. You can set the action to only trigger once, send when notifications are disabled, during certain hours, or only on weekdays.

  7. Click "Next"

  8. Click "+ Add Rule"

  9. Set your rule as: "Has > Custom Field > Will the client be attending > Equals No"

  10. Click "Next"

  11. Name your action if you'd like

    1. This name is not visible to anyone outside of your company/team.

  12. Click "Next"

  13. Select who the email is going to

  14. Add a subject line

  15. Fill out your email body and utilize the placeholders on the right to auto-fill important inspection data like address, date, and time

  16. Click "Save"


Creating an Action for Septic Upsells

In this example, let's say you perform septic inspections and want to upsell that service, but only if you know the home has a septic tank (based on your scheduling fields). You can create an Action with 2 Rules:

  • Has > Custom Field > Does the home have a septic tank? > Equals > Yes

  • Does not have > Service Addon > Residential Inspection - Septic Inspection.

Follow along with the steps below to create the Action for a Septic Upsell.

  2. Click "Actions" in the dropdown menu to open your Company Actions page

  3. Click to open the actions group where you'd like to add a new action

  4. Click "+ Add Action"

  9. Set your rules as: "Has > Custom Field > Does the home have a septic tank? > Equals > Yes" AND "Does not have > Service Addon > Standard Inspection - Septic Inspection"

  10. Click "Next"

  11. Name your action if you'd like

    1. This name is not visible to anyone outside of your company/team.

  12. Click "Next"

  13. Select who the email is going to

  14. Add a subject line

  15. Fill out the body of your email and utilize the placeholders on the right to auto-fill important inspection data like address, date, and time

  16. Click "Save"

With these 2 rules, and having "And" in the middle, that means both rules must apply for the action to fire. So if the client answered Yes to having a septic tank and did not already choose your septic inspection add-on, you can trigger your upsell email!


Creating an Action for Property Details

You can also send Actions based on the property details listed on the standard scheduling field for Age of Home and Foundation. See the examples below for creating Actions for Crawlspace foundations and older homes.

Foundation

If you want to send an email for a specific foundation type, like crawlspace, you can build an Action using that detail.

  1. Click your profile picture in the top right corner of the Dashboard

  2. Click "Actions" in the dropdown menu to open your Company Actions page

  3. Click to open the actions group where you'd like to add a new action

  4. Click "+ Add Action"

  5. Set your event time

  6. You can set the action to only trigger once, send when notifications are disabled, during certain hours, or only on weekdays.

  7. Click "Next"

  8. Click "+ Add Rule"

  9. Set your rules as: "Has > Property Detail > Foundation > Equal to > Crawlspace"

  10. Click "Next"

  11. Name your action if you'd like

    1. This name is not visible to anyone outside of your company/team.

  12. Click "Next"

  13. Select who the email is going to

  14. Add a subject line

  15. Fill out your email body and utilize the placeholders on the right to auto-fill important inspection data like address, date, and time

  16. Click "Save"

Year Built

You can also create an Action based on the year the home was built. This is useful if there is information you'd like to share with clients about older homes.

The way this logic works is if the Year Built number is less than 1975 (say 1955 for example), this email will fire.
