What Are Pay at Close Reports?
Pay at Close reports give you visibility into your active Pay at Close inspections and help you understand how this payment option is performing. You can track payment status, identify inspections waiting to be published, and see trends in client selection rates and add-on services.

Accessing Pay at Close Reports

Click your name in the top right corner to open the dropdown menu
Select Reporting
Click Pay at Close Reports
Select the report you want to view:
Overview - See individual inspection details and payment status
Usage - Monitor Pay at Close eligibility and selection trends
Revenue - Analyze inspection costs and add-on service performance
How Pay at Close Reports Work
All three Pay at Close reports share these features:
Your Pay at Close Settings Summary: At the top of each report, you'll see your current Pay at Close configuration showing how many services have Pay at Close enabled. If you've set a minimum limit, that will display here, too. The "here" link opens a new tab directing to either Settings → Payment (if you have a minimum limit set) or Settings → Services & Fees (if you don't) to manage these settings.
Active Inspections Only: These reports only show active Pay at Close inspections. If a client cancels their Pay at Close selection or the inspection is cancelled, it won't appear in any report.
Running Your Report: After selecting your date range and any filters, click Run Report to generate or refresh your results.
Export Your Data: Use the Download Report button to export data for your records or further analysis.

The Overview Report shows each active Pay at Close inspection with detailed payment status information.

You can also create a custom date range by using the calendar icons next to the Start Date and End Date fields.
Filter Options
Transfer Status:
All - Show all transfer statuses
Pending - Client selected Pay at Close, waiting for inspection to be published. No transfer has been initiated.
Processing - Inspection published, transfer actively processing but has not completed yet.
Complete - Funds paid out to your bank! Typically arrives next business day.
Client Payment Status:
All - Show all client payment statuses
Unpaid - Client selected Pay at Close, payment will be collected by Spectora at closing
Paid - Client completed payment to Spectora for Pay at Close (payment collected at closing, via backup credit card, or after closing cancellation)
Report Columns
Date/Time - Scheduled inspection date and time
Address - Inspection property address (clickable link to inspection)
Client - Client name associated with the Pay at Close selection
Invoice Amount - Client's invoice total (useful when Multi-Party Payments are involved)
Inspection Report - Publication status (Published or Not Published)
Net Transferred - The Net Transferred amount is calculated as: Invoice Amount - $50 Pay at Close Fee = Net Transferred
This is the amount you receive from Spectora after the $50 fee is deducted.
Transfer Status - Current status of the payout to your bank
Client Payment Status - Whether the client has paid Spectora
How to Use This Report
Find unpublished inspections: Filter by Transfer Status "Pending" to see inspections that need to be published so Spectora can initiate your payout.
Track incoming payments: Filter by Transfer Status "Processing" or "Complete" to see which payouts are on the way or have arrived.
Monitor client payments: Use Client Payment Status filters to see which clients still need to pay Spectora at closing.

The Usage Report helps you understand Pay at Close eligibility and how often clients are selecting this payment option.
Date Range Options
Monthly - Shows all-time data broken down month-by-month (displays every month across all years)
Quarterly - Shows all-time data broken down quarter-by-quarter (displays Q1, Q2, Q3, Q4 for each year)
Annual - Shows all-time data broken down year-by-year (displays each year)
Report Columns
Period - The time period displayed in the report (month, quarter, or year, depending on your date range selection)
Total Inspections - All inspections completed during the time period
Total Inspections with Pay at Close - Active Pay at Close inspections (not cancelled)
Eligible Inspections - Inspections where Pay at Close was available as a payment option for the client
Pay at Close Selection Rate - Percentage of eligible inspections where clients chose Pay at Close
Add-Ons Included with Pay at Close - Number of inspections where add-on services were included
Understanding Eligible Inspections
An inspection is considered "eligible" when Pay at Close was available as a payment option, regardless of whether the client selected it.
Example: If you have Pay at Close enabled for residential inspections but not standalone radon tests:
Residential inspection = eligible
Standalone radon test = not eligible
⚠️ Important note about eligible inspection data:
Eligible inspection count reflects the initial payment choice. Later changes to the payment method aren't included in this data. For example, if a client initially selects Pay at Close but later changes to credit card payment, the inspection will still count as "eligible" in this report. This helps you understand how many inspections qualified for Pay at Close at the time of booking. Selection rate also reflects the initial payment choice.
Data Processing
Eligible inspection data may take a few moments to process. If you see an alert message that says, "We're Updating This Data. Eligible inspection count is still processing. Please check back shortly," this means the data is currently being updated. Check back in a few moments to see your results.
If data is unavailable or still processing, you'll see a dash mark (-) in that column.
How to Use This Report
Evaluate Pay at Close adoption: Compare "Total Inspections with Pay at Close" to "Eligible Inspections" to see how often clients are choosing this option.
Consider expanding availability: If your selection rate is high, you might consider enabling Pay at Close on more services or lowering your minimum limit.
Track add-on performance: Monitor how many Pay at Close inspections include add-on services to understand upsell trends.

The Revenue Report helps you compare your average inspection costs with and without Pay at Close, and shows which add-on services are trending.
Date Range Options

Trending Add-Ons - Top 3 most frequently included add-on services
How to Use This Report
Compare inspection values: See if Pay at Close inspections have higher average costs than your overall average. This can help you understand if clients are more likely to add services when payment is deferred.
Identify upsell opportunities: Use the "Trending Add-Ons" column to see which services clients are most likely to include with Pay at Close inspections.
Track add-on performance: Monitor "Average Add-On Cost" to see how much additional revenue add-on services generate on Pay at Close inspections.
Make business decisions: If certain add-on services are trending, you might want to promote them more actively. If a service you expected to see isn't trending, consider how you're presenting it to clients.
Frequently Asked Questions
Why don't I see a Pay at Close inspection in my reports?
The reports only show active Pay at Close inspections. If a client cancelled their Pay at Close selection or if the inspection has been cancelled, it will not appear.
I see a "Pending" transfer status. What should I do?
Check if the inspection has been published. If not, use "Publish All" to trigger the transfer. Once published, the status will update to "Processing."
What does the dash mark (-) mean in the Usage Report?
A dash indicates either no data is available for that time period or data is still processing. If you see an alert banner about data processing, check back in a few moments.
Why do the "Eligible Inspections" and "Selection Rate" numbers seem different than what I expected?
These data points reflect the initial payment choice at the time of booking. If a client later changes their payment method (for example, from Pay at Close to credit card), that change won't update these numbers. This helps you understand how many inspections were initially eligible for Pay at Close.
