Spectora Advanced: Custom Data Exports

Generate an export with just the data you need - and save the settings for future use!

As part of Spectora Advanced, you can create Custom Data Exports! You can export your data and just include the specific data that you want making it easier than ever to understand your business.

Creating Custom Exports

In the new Reporting section of Spectora, you will find a tab labeled Custom Export.

From this screen, you can now build out a personalized export using any of the data points in the selector and then filter (if you choose to) to further tailor your export to your needs.

  1. Click on + Add Custom Export to create a new export


  2. In the window that pops up start by selecting what data you want to be in your export:

    1. You can choose individual items or everything in a section by clicking Select All

    2. There are a few items that when selected will generate more than one column in your export;

      1. Service Fee Breakdown will include a column for each of your services (including add-ons) with the cells filled out per row with the associated dollar amount.

      2. Payment Amount will include a column for each of your Payment Types with the cells filled out per row with the associated dollar amount.

      3. Client, Buyer's Agent and Seller's Agent Address will include separate columns for the individual components of the address

      4. Client, Buyer's Agent and Seller's Agent Phone will include separate columns for Work (Office), Mobile, Home (Clients only) and Fax (Agents only) phone numbers

      5. The Custom Fields selectors are based on what you have setup in Custom Scheduling Fields here in Settings

  3. Click on Next or Filter to move on to the next step of customization OR just click Run Export to generate the .csv file without filtering

  4. Once on the Filter step, you may adjust what data will actually make it into your export using the following filters

    1. Date Range - Default is Last Month

    2. Status - Default is to not include Deleted, Archived, or Cancelled but includes data from Confirmed or not, Paid or not, and Published or not

    3. Inspectors - No selection here means all Inspectors will be included. You may choose multiples by starting to type the name and selecting the inspector.

    4. Services - No selection here means all Services will be included.

  5. Click on Next or Save Export to move on to the next step OR just click Run Export to generate the .csv file without saving the setup for future use.

  6. From the last step Save Export you have the option to save your settings for this export and name it something meaningful. You can even add a description. Finally, click on Save & Run Export

  7. Once you have saved exports you will see them on the main Custom Export page and can simply Run, Edit, or Delete them. These Exports are not user-specific so anyone with Financial Data permissions will be able to see, create, and run them!
